The whole flow of information and the reconciliation is based on exception processing, only if you are notified by a TSR023 Vet Report, a EF70 Schedule of Unpaids, or a manual entry to your bank account, your debit/credit orders have gone through.

The basic reconciliation steps are:

  • Balance from your data totals submitted to the contra entries on your bank statement, and to the TRS023 Vet Report, which would have been emailed to you.

 

  • Cross check and balance for any homeback entries from your bank statement to the TSR023 Vet Report. NB! If the error code on the TSR023 Vet Report is a "4", then this homeback entry has gone through, but has been reported for information purposes such as, "THIS BRANCH WILL SOON CLOSE FOR SERVICE"

 

  • Balance to the EF70 Schedule of Unpaids report, which is emailed to your as and when they are received by Cypher from Bankserv, usually the next working day after the Unpaids consolidated entries have been debited or credited to the respective bank account, nominated account. On your bank statement you will see just the consolidated entry by bank and for each day e.g.. "002 UNPAID/WEIERINGS - STANDARD     250.00". The "002" indicates that there are two entries that make up the consolidated entry of R 250.00. The details of the two entries can be found on the EF70 Schedule of Unpaids for that day and nominated account.

 

  • The last step is to look for any manual debit or credit orders that have been returned by your bank. If the entry on your bank statement does not have sufficient detail on it to identify where the entry is from, then you need to contact your bank branch for the required details. The actual format of the detail on statement varies from bank to bank.
